Information for Facilitators
On this page you will find details on the policies and procedures for your participation as a workshop Facilitator for CoLang 2024. Please read the following thoroughly and contact colang2024@gmail.com with any questions or concerns. This page may be updated with other information and clarifications, etc., which we will inform you about directly, but please check back occasionally.
Procedures
Intake Form
You should've received a Facilitator intake form (on January 31st), which gather the necessary information to process your honorarium, reimbursements, and other logistical details. If you have not received this form, please reach out to colang2024@gmail.com. Note you will not go through the registration process for Participants.
Once you fill out the Facilitator form you will be sent a special registration form that is for facilitators only.
Other Logistics
One of the CoLang staff will follow up with you to make the necessary arrangements for your trip (for example, to arrange for any official documents you may need entering the U.S.), and to confirm your choices.
Closer to the start of CoLang, one of the staff will reach out to you to arrange anything you need for your workshop, and also to finalize any other paperwork.
Some facilitators may require supporting documents for entry into the US. We will work with you to produce the documents you need specific to your situation.
Policies
Travel
CoLang 2024 will reimburse you for one round trip economy ticket from your home airport to Phoenix Sky Harbor International Airport (PHX), the closest airport to Arizona State University. Note that due to ASU policies, we are unable to arrange or pay for your ticket in advance; we apologize for the inconvenience.
The dates of your ticket can include the duration of your entire stay at CoLang. This can be (a) the week in which you are facilitating a workshop only (b) the week of your workshop and also the other week of the workshop session if you wish to attend as a participant, and/or (c) the last two weeks of CoLang if you wish to stay for the practica session.
We will reimburse you for local transportation to and from your home airport (or other location).
You are free to book your plane tickets to Phoenix for any duration, for example, if you wish to spend some extra time in Arizona to sightsee. The only condition is that the fare is not significantly different from attending just your workshop week.
If you are planning on driving to ASU/SRPMIC, we will reimburse your mileage.
Accommodations
CoLang 2024 will arrange and cover your lodging for the week of your workshop, including one day before your workshop.
If you plan to attend as a Participant during the week you are not facilitating your workshop, we will need to charge you for your stay in the ASU dorms for the extra week, or you can opt to make your own lodging arrangements. Also, if you plan to stay extra time in Arizona to sightsee you will need to cover the extra accommodation costs.
If you plan to stay for the practica session, you will need to book your own lodging for those two weeks. There will be a group rate available at the Courtyard by Marriott Scottsdale Salt River (group rate $119/night single king or double queen room), or you can opt to make your own lodging arrangements.
Meals
CoLang 2024 will arrange and cover your meal plan during the week of your workshop.
Not that there are no meals on the weekend.
If you plan to attend as a Participant for the week you are not facilitating your workshop, we will need to charge you for the meal plan for that week, or you can opt to make your own meal arrangements.
Workshop participation
You have the option of attending other workshops when you are not facilitating yours. There will be a separate registration form for this (so we can track capacity).
CoLang will cover your meals and lodging in the ASU dorms for the week(s) your are a Facilitator. However, a separate charge will be applied for the extra week of meals and lodging as a Participant, both in the Workshops weeks and the Practica weeks, should you chose to attend.
If a workshop or practicum reaches capacity, participants will be given priority.
